Check Out Process

Winter Break Housing

Students in need of housing over break periods including winter break must complete a housing application on eRezLife. An email will be sent when this application becomes available. Depending upon reason for stay, charges may apply. To be eligible for break housing, students must not have a balance with the Bursar’s office and must be registered at full time status for the spring semester.


Spring 2027 Move Out

Check Out Process

Check Out Requirement

A Check Out is REQUIRED for all students – even Suites residents without a key to turn in. Students who do not complete a check out with staff or via an express check out may be subject to an improper check out fee of $50.               

Mid-Semester Move Out

Students who withdraw/transfer/switch to commuter status have two business days to vacate their room after receiving formal notice of housing cancellation. Students must check out by appointment with a ResLife staff member.

Room Condition Reports & Damage Billing

Residential Life staff will enter each bedroom and suite to verify that residents have completed the items on the Closing Checklist and to assess for any damages or facilities concerns. It is the responsibility of students to maintain their space over the course of their occupancy or report any facilities issues that occur to Residential Life. The condition of the room at closing is compared to the Room Condition Report in eRezLife from prior to student move in at the start of the academic year.

Any discrepancies in the condition of the room, damages found, or facilities concerns, may result in damage billing for the individual(s) who occupy the space. Students who have billable damages will be notified via email shortly after residence hall closing. 

Students who check out improperly or who use the express check out method are not able to contest any damage billing fees.

Room Preparation For Closing

Each resident is responsible for ensuring their room is properly closed and that they have correctly checked out of their space prior to leaving for the semester. Failure to do so may lead to damage billing, fines, or referral to Student Conduct. Students should complete the following before checking out of their room.

  • Bring all personal belongings home with you. Double check behind and under furniture and in drawers so that nothing is left behind. Items left behind are not guaranteed to be saved or set aside and may be disposed of. Residential Life will not mail items back or store items throughout the summer.
  • Dispose of all trash from your room, bathroom, kitchen, and common areas.
  • Remove all perishable items from the room and refrigerator.
  • All spaces (including kitchens, common areas and floors) should be reasonably cleaned.
  • Furniture that was moved under beds should be placed back where it belongs.
  • Furniture that was altered (i.e. unbunked/lofted) should be reset.
  • Close and lock your windows, and pull shades all the way down.
  • Close and lock your bedroom door.
  • Sign the Closing Checklist form on the door when you leave.

Summer

On Campus Dining

McGovern Dining Commons generally closes at 2 p.m. on the Friday before Commencement and remains closed for the summer. The Jay’s Nest is open during the summer and its hours can be found here (generally M-F, 8 a.m.-2 p.m.).

Summer Housing

Students staying on campus for summer housing must complete a separate housing application on eRezLife and fees will apply. Students staying for summer housing are not required to participate in May check out or closing. More information will be sent via email.
